Position Overview

The Human Resources Coordinator will support the administrative and functional needs of the Human Resources Team. This position will also assist with employee inquiries, and help support an efficient and high functioning Human Resources Department.

Job Description

Duties and responsibilities

  • Process and maintain confidential data and records for new hires, terminations, employee transfers, changes in job classification, salary increases, and other related employment matters.
  • Support the recruitment and hiring process, including participating in the interview process, coordinating background screening processes, processing new hire paperwork and I9s, and serving as the main point of contact for new hires to answer questions and enlist support as necessary.
  • Assist with new employee onboarding process by scheduling and conducting orientations and training, updating records, and other tasks as needed.
  • Support offboarding processes ensuring compliance with company policies and completion of exit interviews.
  • Support processes related to the engagement and termination of contractors, working with the HR team, business, and staffing agencies as needed.
  • Assist with employee visa and sponsorship processes.
  • Act as a point of contact for general HR inquiries from employees, and provide basic information or redirect as necessary.
  • Assist team members with various tasks within the Human Resources department, including scheduling of meetings, planning employee events, etc.
  • Produce and submit HR-related reports, prepare and maintain personnel files, and update and maintain the internal and employee-facing HR SharePoint sites.
  • Responsible for administrative tasks for the HR department including invoicing, serving as the local point of contact for employee vendor credentialing, producing HR-related reports, preparing and maintaining personnel files, preparing, proofreading, and distributing HR-related documents, reports, and presentations, and updating and maintaining the internal and employee-facing HR SharePoint sites.
  • Assist with HR projects and activities, including but not limited to employee activities, employee engagement, and improvement projects.
  • Comply with all applicable U.S. Food and Drug Administration (U.S. FDA) medical device regulatory requirements, applicable ISO 13485 standard requirements and all other applicable laws, regulations, and standards.
  • Additional duties as required.

Qualifications

  • BS/BA in Human Resources, Business Administration, or related field required. PHR or SHRM-CP certification a plus.
  • 1-2 years of office-related experience, preferably in an HR support role within a mid- to large sized HR department.
  • Excellent phone etiquette, verbal and written communication skills, and interpersonal skills.
  • Ability to work collaboratively with team members.
  • Ability to take direction and support a multitude of individuals.
  • Ability to work independently and to be self-motivated.
  • Experience using MS Office (Word, Excel, Outlook, PowerPoint, Forms, etc.)
  • Experience with HR systems (such as ADP, Workday, iCIMS, etc.) preferred.
  • Ability to handle data and records with confidentiality.
  • Excellent organizational skills with an ability to manage multiple priorities, deadlines, and schedules efficiently without compromising quality.
  • Excellent time management with an ability to prioritize tasks, handle interruptions, and meet tight deadlines in high volume and fast paced environment.
  • High attention to detail to ensure precision in documentation, data entry, and report preparation to maintain accuracy in a high-volume environment.
  • Ability to anticipate needs, identify challenges early, and take appropriate action without constant supervision, and ability to identify when to escalate tasks as needed.
  • Ability to identify issues and propose practical solutions efficiently.

Physical requirements

 

The position requires the ability to perform the following physical demands and/or have the listed capabilities.

  • Usual office working conditions.
  • Frequently required to sit; talk; or hear.
  • Frequently use fingers to type and do other fine motor tasks.
  • Occasionally required to stand; walk, handle, or feel; reach with hands and arms; and stoop; kneel; or crouch.
  • Occasionally lift and/or move up to 20 pounds.
  • Specific vision abilities required by this job include close vision, distance vision and depth perception.
  • Other duties as assigned.

Additional requirements

  • Valid driver’s license with a safe driving record.

Travel

  • Occasional (up to 10%) travel may be required based on business need.
