Position Overview

The Executive Assistant acts as an executive support partner to leaders and their direct reports. The role involves coordinating site level projects, scheduling meetings, and managing calendars for leaders. This role anticipates upcoming needs of executives in a fast paced, growing environment.

Job Description

Major Accountabilities:

 

  • Networks with key contacts outside own area of expertise.
  • Adapts style and uses persuasion in delivering messages that relate to the wider firm business. Frequently advises others on complex matters.
  • May be accountable through team for delivery of tactical business targets.
  • Exhibits advanced wide-ranging experience, using in-depth professional knowledge, acumen, concepts, and company objectives to develop, resolve complex models and procedures.
  • Provides solutions to issues in creative and effective ways.
  • Understands the interrelationships of different disciplines.
  • Directs the application of existing principles and guides development of new policies and ideas.
  • Work is reviewed upon completion and is consistent with departmental objectives.
  • Understands and works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors.
  • Determines methods and procedures on new assignments.
  • Exercises judgment in selecting methods, evaluating, adapting of complex techniques and evaluation criteria for obtaining results.
  • Prepares and arranges meetings, calls, and events (conference rooms, catering, A/V needs), working with internal departments to arrange.
  • Obtains, prepares and retains sensitive information with the highest confidentiality.
  • Partners harmoniously with many levels in the organization.
  • Receives and interacts with incoming visitors.
  • Coordinates and schedules internal and external visitor tours.
  • Establishes frequent contact with customers, corporate executives, both internal and external and Fujifilm Biotechnologies corporate offices.
  • Coordinates with leader and makes travel arrangements using Concur system and directly with travel agents.
  • Processes expense reports.
  • Identifies and resolves problems in a timely manner as necessary.
  • Reviews and answers inquiries on own initiative and determines within established guidelines if executive action is required.
  • Refers routine matters to appropriate parties for action and follows up to ensure proper disposition.
  • Executes duties with a high level of confidentiality and adherence to ethical standards concerning sensitive data.
  • Performs other duties, as assigned.

Education and Experience Requirements:

 

  • High School Diploma or GED with 10 years of previous experience in a progressively responsible administrative/office management experience OR
  • Associate’s degree with 8 years of previous experience previous experience in a progressively responsible administrative/office management experience OR
  • Bachelor’s degree with 6 years of previous experience in a progressively responsible administrative/office management experience
  • Minimum of 3 years working as an executive assistant with C-level executives in a dynamic office environment
  • Excellent written and verbal communication skills
  • Advanced proficiency with the MS Office Suite
  • Previous experience in the biotechnology, life sciences, or pharmaceutical industry preferred

 

Physical Demands:

  • Ability to stand for prolonged 60 minutes at a time
  • Ability to sit for 240 minutes at a time
  • Ability to conduct activities using repetitive motions that include writs, hands and/or fingers.
  • Ability to conduct work that includes moving objects up to 10 pounds.
