Position Overview

The Executive Assistant to the CIO and SVP OpsExc (together, “the executives”) provides comprehensive support to ensure the executives’ productivity and efficiency. This role involves managing the executives’ schedules, handling correspondence, prioritizing tasks, and providing occasional event support. The ideal candidate is highly organized, detail-oriented, possesses exceptional time management and communication skills, and strives for efficiency. This position is critical in enabling the executives to focus on strategic initiatives and high-priority responsibilities

 

Directly supports the executives in schedule management, correspondence, and tasks.

Ensures the executives can focus on high-priority and strategic responsibilities by effectively managing administrative functions.

Job Description

Key Responsibilities

  • Calendar Management: Efficiently manage the executives’ calendars by scheduling and coordinating appointments, meetings, travel, and events. Address scheduling conflicts proactively and provide timely reminders for upcoming engagements, ensuring alignment with the executives’ priorities and commitments.
  • Email Correspondence: Monitor and filter the executives’ email inboxes, responding to routine inquiries and drafting appropriate responses as requested by the executives. Prioritize and categorize emails based on urgency and importance, flagging critical matters for immediate attention.
  • Time Prioritization: Collaborate closely with the executives and their teams to understand objectives and priorities. Assist in evaluating tasks and commitments, recommending task delegation, rescheduling, or removal to optimize the executives’ time for the business.
  • Administrative execution: Ensure the executives’ expenses, training requirements, and document reviews are completed in a timely manner. Discuss timelines expected with each executive to understand needs and how best to prioritize.
  • Task Management: Keep track of action items, follow-ups, and deadlines resulting from meetings or projects. Coordinate with relevant parties to ensure timely completion of tasks and facilitate effective communication.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Management, or a related field, or an equivalent background combining education and substantial administrative experience within a technical, business, or scientific environment.
  • Proven experience as an executive assistant, supporting C-suite or senior executives (5+ years).
  • Experience in the IT, biotech, and/or pharmaceutical industry preferable but not required.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong written and verbal communication skills, including exceptional email etiquette.
  • Proficiency in using office productivity tools such as Microsoft Office, calendar management software, and email platforms.
  • Exceptional attention to detail and accuracy.
  • Ability to exercise sound judgment and make decisions independently.
  • Discretion and professionalism in handling confidential matters.
  • Adaptability and willingness to adjust tasks in response to changing priorities.
  • Strong interpersonal skills and the ability to collaborate effectively with internal and external stakeholders.

Impact & Decision making

  • Significant impact on the efficiency and productivity of the executives and departments within the responsibility of the executives.
  • Facilitates effective communication and coordination within the departments and with external stakeholders.
  • Erroneous actions could affect the executives’ schedules, decision-making, overall department efficiency, and compliance with expense policies.
  • Requires the ability to prioritize and make decisions independently to resolve scheduling conflicts and manage tasks effectively.
  • Exercises sound judgment in handling confidential information and making recommendations to optimize the executives’ time.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain a high level of confidentiality in all interactions and tasks.
