FUJIFILM Irvine Scientific, Inc. is  hiring a Customer Service Specialist. The Customer Service Specialist will be responsible for administrative, customer service and entry-level sales support for the LAL Sales Division.

Job Description

Responsibilities 

  • Daily customer service duties, including phone and email communications regarding product pricing, availability, and basic technical inquiries.
  • Daily purchasing activities, which include but are not limited to, receipt, confirmation and processing of customer and distributor orders, receipt, and processing of stock orders from Wako Japan.
  • Data Entry activities, which include but are not limited to, entry of new items for sale, entry of order information on LP log, completion of packing documents, updating distributor pricing sheets.
  • Daily accounting activities, which include but are not limited to, order invoicing and posting of payments received to customer accounts, credit card processing, past due follow-up, and collections, working with banking agents on special payments.
  • Regulatory activities to include generation and maintenance of proper export documentation.
  • Regularly communicate with Japanese parent company when ordering of stock is needed.
  • Coordinating shipment deliveries to Wako USA as needed.
  • Maintain, balance, and reconcile department sales totals in preparation for monthly closing.
  • Perform physical inventory when needed.
  • Maintain efficient and professional communication with forwarders, vendors, customers, colleagues, supervisors, and sales staff, as well as corresponding support staff in Japan.
  • Lend assistance, as needed, to the General Manager, Sales Specialist, Technical Specialist, and satellite sales staff.
  • Perform various administrative duties as needed, including but not limited to, maintaining department sales, regulatory and shipping files, generating shipping labels.
  • Research available sources for potential customers; contact customers and engage in product presentations.
  • Locate potential distributors in countries where Wako lacks a presence, introduce our company and products, move to distributor discussion.
  • Create monthly reports for sales meetings, as well as reports for quarterly, yearly, or multi-year sales plans.
  • Create presentations to be used for distributors and/or customers, related to the benefits of Wako’s LAL products, specific markets, specific product testing, etc.
  • Conduct sales negotiations with distributors and end users as they relate to pricing point, credit terms, placement of instrumentation, etc.
  • Engage in direct sales interactions through management of customer contact lists.
  • Assist with sourcing of raw materials for production or OEM purchases.
  • Monitor and expand social media reach.
  • Process customer orders in a timely and accurate manner. process customer invoices in a timely and accurate manner.
  • Alert supervisor and/or General Manager when product quantities reach lowest threshold levels to help ensure that adequate stock is maintained.
  • Engage in sales/account management activities as assigned.
  • Provide assistance to department members as needed.
  • Employee must adhere to the work schedule and maintain good attendance, whereas time off is scheduled and approved in advance, where possible.

 

Required Skills/Education 

  • High School Diploma
  • Good customer service skills, good phone manners, and working knowledge of Windows based software
  • Ability to learn and effectively use accounting software
  • Ability to communicate effectively
  • Ability to perform tasks in a timely manner and to have the ability to adjust daily workload to accommodate changes in schedule
  • Working knowledge of general office procedures and strong customer service skills
  • Working knowledge or basic calculator functions
  • Ability to present a positive and team-oriented demeanor to all internal and external contacts
  • A strong attention to details
  • Ability to learn business requirements and use data systems to meet job requirements.
  • Proficiency in Outlook, Word and Excel
  • Experience using an on-line order entry system
  • Must be fluent in the English language to contact prospective customers, explain features of product and make recommendations based on prospect's circumstances
