FUJIFILM Electronic Materials, U.S.A., Inc., is a global leader in chemical solutions which enable the semiconductor industry and the digital universe. We have an exciting opportunity at our Mesa, AZ facility for an HR Administrator! This is a temporary, 6-month assignment.

 

The Role

 

The HR Assistant/Admin is responsible for providing comprehensive administrative support to the Human Resources department. This role involves handling a variety of tasks related to recruitment, onboarding, offboarding, compliance, and general office support. The HR Assistant/Admin ensures that HR operations run smoothly and efficiently, maintaining organized records and files, processing invoices, and assisting in employee engagement activities. This position requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion.

Job Description

Key responsibilities for this role include:

 

Recruitment Support:

  • Conduct initial phone screenings for candidates.
  • Schedule and coordinate interviews with candidates and hiring managers.
  • Prepare and send offer letters to selected candidates.
  • Maintain and update the job requisition log.
  • Assist in sourcing candidates through various recruitment channels.

 

Onboarding:

 

  • Prepare new hire paperwork and ensure all documents are completed and filed correctly.
  • Schedule new hire orientations and training sessions.
  • Set up new hires in relevant systems/databases as credentials allow.
  • Coordinate the setup of workstations and access credentials for new hires.

 

Offboarding:

 

  • Prepare termination paperwork and ensure all documents are completed and filed correctly.
  • Schedule exit interviews with employee and HR Manager.
  • Process employee terminations in relevant systems/databases as credentials allow.

 

Administrative Support:

 

  • Maintain employee files and ensure all records are up to date.
  • Run and distribute HR reports as HRIS permissions allow.
  • Update and maintain HR spreadsheets and databases.
  • Assist with the preparation of HR metrics and reports.
  • Ensure electronic files are neat, organized, and easily accessible.

 

HR Support:

 

  • Respond to general HR inquiries from employees and managers.
  • Assist in organizing and scheduling employee events and activities (lunches, annual picnic, etc.).
  • Help coordinate employee recognition programs and initiatives.
  • Ensure all employee documentation is compliant with legal and company requirements.

 

General Office Support:

 

  • Assist with administrative tasks such as filing, scanning, and copying documents.
  • Manage the HR department's calendar and schedule meetings.
  • Order office supplies and manage inventory for the HR department.
  • Perform other administrative duties as assigned by the HR Manager or other HR staff.
  • Process HR-related invoices, coordinating with Accounts Payable

 

REQUIREMENTS

 

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Previous administrative experience required.
  • Experience in Human Resources or related field preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and accuracy in work.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills and the ability to work well with all levels of staff.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Basic understanding of HR principles and practices.
  • Familiarity with employment laws and regulations.
  • Knowledge of recruitment processes and techniques.
  • Ability to work independently as well as part of a team.
  • Ability to learn new systems and software quickly.
  • Ability to manage multiple priorities and deadlines.
  • Ability to maintain a high level of confidentiality.
  • Strong commitment to providing excellent customer service.
