Job Title: Senior Order Fulfillment Specialist

 

Job purpose

 

Drives all MS & MI Zone Support for the OTR Process (Order Processing, Change Orders, Return Authorizations, and SalesForce.com updates) including Revenue processes (shipments & deliveries) and acts as the primary point of contact for Zones. Monitor and track all Orders from packet receipt to completion. Executes OF actions, follow-ups and maintains communications with Business Unit Managers and Distributors.

 

Duties and responsibilities

  • General
    • Developing data systems and maintaining databases.
    • Analyze the Purchase, Sales and Inventory – PSI file and Pipeline file from our distributors and create trend etc.
    • Create reports for internal teams.
    • Collaborate with team members to collect and analyze data.
    • Work in cooperation with team to identify opportunities for improvement and process of each business unit.
    • Use graphs, infographics and other methods to visualize data.
    • Establish KPIs to measure the effectiveness of business decisions.
    • Structure large data sets to find usable information.
    • Create presentations and reports based on recommendations and findings.
    • Analyzing local, national, and global trends that impact both the organization and the industry (example: to collect Latin America data based on World Bank and International Monetary Fund – IMF.)
    • Analyzing Customers and Competitors Importation Statistic Record.
    • Using automated tools to extract data from primary and secondary source.
    • Performing analysis to assess quality and meaning of data.
    • Using statistical tools to identify, analyze, and interpret patterns and trends in complex data sets that could be helpful for the diagnosis and prediction.
  • Zone support
    • Verifies that Quotes, Purchase Orders, and Contracts are accurate and complete, submits Order Packets, assigns action items as necessary and follow-ups to ensure orders are completed through revenue recognition.
  • Legal requirements
    • Review legal and contractual obligations and escalate to the Legal department as necessary.
    • Work with sales to facilitate the timely booking of orders.
    • Provide Sales with fully executed copies of legal agreements.
    • Assist customers with basic requests such as copies of agreements.
    • Confirm NCA has been processed for all non-standard agreements.
    • Create new orders in Salesforce.com for accurate sales booking forecasts.
    • Works with the Sales & Logistic Team to move and escalate critical issues and find resolutions for any problems or disputes to ensure that all order packets are entered on time.
    • Coordination with Sales: provide weekly updates to sales on status of order packets, change orders and obtain information on expected orders in the pipeline and changes.
    • Coordinates with Procurement team regarding the placement of purchase orders, ETA or materials, and the processing of vendor invoices to ensure the forecasted revenue stream as well as timely vendor payments.
  • Change orders/return authorizations:
    • Responsible for creating and processing change orders and return requests in Salesforce.com, per the Change Order and Returns Authorization Policy.
    • Coordinate approvals for Change Order request, Returns and exchanges for timely resolution.
  • Order fulfillment operations
    • Review orders in SAP, update the SAD (Scheduled Arrival Date) in SAP, check BOM (bill of materials), track and release back orders, change orders and return orders.
    • Create deliveries and release billing plans in SAP. Update Salesforce.com on a daily basis for Zone sales activities for accurate revenue forecasting, and accurate order delivery. Verify that Salesforce.com input matches with SAP entries. Works closely with Managers of each business unit to ensure achievement of monthly revenue forecast. 
    • Takes on special projects, additional tasks and responsibilities as needed, which includes covering for team-members’ absence.
    • Adheres to the Company's quality and regulatory compliance requirements, without exception, and ensures that all job duties inherent in the position description are performed in accordance with established Policies and Procedures.
  • Other
    • Comply with all applicable U.S. Food and Drug Administration (U.S. FDA) medical device regulatory requirements, applicable ISO 13485 standard requirements and all other applicable laws, regulations and standards.

Qualifications 

  • Bachelor’s degree of a relevant nature.
  • Minimum 3-5 years of demonstrated experience in customer service or OTR operations or general administration.
  • Minimum 2-4 years of experience using Salesforce.com.
  • Experience working on the Sales and Distribution module of SAP is a plus.
  • Advanced written and verbal communication skills in English.
  • Spanish proficiency is desired.
  • Intermediate level skills in MS Office suite including Word, Excel, Email, remote conferencing tools.
  • Demonstrated ability to organize, prioritize work, multi-task and rigorously follow up on pending issues to completion.
  • Demonstrated ability to work independently but take direction as needed.
  • Advanced problem-solving skills and work in a demanding, fast-paced environment.
  • Demonstrated ability to work in teams and collaborate.
  • Prior experience in medical imaging industry would be a plus.

Physical requirements

 

The position requires the ability to perform the following physical demands and/or have the listed capabilities:

  • The ability to sit up 75-100% of applicable work time.
  • The ability to use your hands and fingers to feel and manipulate items, including keyboards, up to 100% of applicable work time.
  • The ability to stand, talk, and hear for 75% of applicable work time.
  • The ability to lift and carry up to ten pounds up to 20% of applicable work time.
  • Close Vision: The ability to see clearly at twenty inches or less.

Travel

  • Occasional (up to 5%) travel may be required based on business need.
