We are currently hiring a Trade Show Specialist in our beautiful Valhalla, NY office.  The Trade Show Specialist manages the planning, development and execution of effective and efficient trade shows. This person will report to the Sr. Creative Services Manager and be responsible for a range of 25-35 trade shows per year with an overall budget of approximately $2 million dollars.  


In addition, this position is responsible for monitoring and reconciling the multiple company budgets, recommending ways to contain and lower costs, working with the Account Executive for the exhibit house, building and maintaining close working relationships with business units that may need assistance, and will be accountable to each business unit for producing successful trade shows and events, managing the show budget, and deliver the most cost effective solutions.


The ideal candidate is a team player also capable of performing individually with minimal supervision with excellent communication skills as they will interact daily with senior management and all levels of mangement and must be able to maintain positive relationships

Responsibilities include, but are not limited to the following:




  • Have experience in the trade show and event planning industry.
  • Build strong relationships with internal clients
  • Design initial floor plans to meet marketing goals
  • Work with outside exhibit company to refine floor plans to produce cost effective plans
  • Work with exhibit company to coordinate all third-party costs including labor, AV, construction
  • Document all third-party show expenses such as electrical, drayage, freight, telecommunications, and graphics to avoid exhibit house mark-ups.
  • Have strong working knowledge of trade show production and be the first level liaison with the exhibit house.
  • Maintain exhibit property inventory top facilitate leveraging these properties across shared services.




  • Negotiate all Trade Show Hotel Room Blocks
  • Recommend cost effective alternative for the purchasing of supplies and materials.




  • Be responsible for maintaining the annual budget.
  • Update and maintain all clients trade show budgets including Sap functions monthly reconciles and report
  • Recommend cost effective alternative for the purchasing of supplies and materials.




  • Knowledge of Trade Shows, trade shows booth construction and Creative Production.
  • Strong written and verbal communication skills
  • Strong Excel Skills


  • 2-4 years’ experience in the Trade show/Events management or exhibit account management industry.
